Part 1: Prepare the Destination Folder on Your Computer

Before touching the scanner, you must create a dedicated user and a shared folder for it to access.

Create a Dedicated "Scanner" User

For security, don't use your own login. Create a local user account on the computer that will receive the scans (e.g., username: SharpScanner).

  • Give it a strong password that does not expire.
  • This user does not need to be an administrator.

Create and Share the "Scans" Folder

Create a new folder on the computer (e.g., C:\Scans).

  1. Right-click the folder → PropertiesSharing tab → Advanced Sharing.
  2. Check "Share this folder". Click Permissions.
  3. Give the SharpScanner user you created Full Control. Remove "Everyone" if it exists.
Set Security (NTFS) Permissions

This is a separate, crucial step.

  1. In the same folder Properties window, go to the Security tab.
  2. Click Edit..., then Add... to find and add your SharpScanner user.
  3. Select the SharpScanner user and give it Modify permissions.
Get the Computer's IP Address or Hostname

You'll need this for the MFP. An IP address is often more reliable.

  • Open Command Prompt (search for cmd) and type ipconfig. Note the IPv4 Address (e.g., 192.168.1.50).
  • Alternatively, you can use the computer's name (hostname).

Part 2: Configure the Sharp MFP Address Book

Now, we'll log into the Sharp's web page to add the new destination.

Access the Web Interface
  1. Find your Sharp MFP's IP address (usually found in its network settings on the panel).
  2. Type the IP address into your web browser (e.g., http://192.168.1.100).
  3. Log in as an administrator. The default password is often admin.
Add a New Network Folder Destination

Navigate to the Address Book section. The exact path may vary slightly by model.

  1. Click "Add" or "Add a new address".
  2. Select the address type: Network Folder (or sometimes labeled "SMB").
  3. Fill in the following fields:
  • Address Name / Display Name: A friendly name that appears on the screen (e.g., "Accounting Scans").
  • Network Folder Path: This is the most critical part. Use the format \\ComputerName\ShareName or \\IPAddress\ShareName.
    Example: \\DESKTOP-ABC\Scans or \\192.168.1.50\Scans
  • User Name: The dedicated user you created (e.g., SharpScanner).
  • Password: The password for your SharpScanner user.
Test and Submit

After filling in the details, look for a "Test Connection" or similar button. This will confirm if the MFP can reach the folder with the credentials provided.

  • If the test is successful, click Submit or Save to save the address.
  • If it fails, double-check the path, username, and password.
